Personal Assistant GM Derma Europe (all genders)

Your Tasks

As personal assistant to our General Manager Derma Europe and the Team, you will:

  • Act as as a central point of contact among executives, employees and other stakeholders
  • Ensure a smooth run of our GM Europe’s daily business
  • Manage and coordinate administrative tasks like calendars maintenance, worktime and vacation administration, travel management, scheduling the meetings, creating agendas and PowerPoint presentations
  • Be in charge of organizing team events and workshops (both physical and virtual), conferences & offsites, as well as content preparation, catering, flights, hotel bookings, etc.
  • Manage local GE accounts incl. the budget management (Raise POs, track open commitments, create debit/credit- notes, prepare year-end procedures)
  • Support also the Derma EU Team and the Head of Global Detailing (1day/week) with administration work and in organizational matters
  • Track daily expenses and prepare weekly, monthly, or quarterly reports
  • Act as an office manager by keeping up with office supply inventory setting up the workstations for new starters
  • Develop and prepare content for internal and external communication - memos, emails, presentations, reports

Your Profile

We would love to have you on board, if you:

  • Have a commercial education and ideally first years of professional experience, ideally in an international environment in a similar field
  • Are fluent in English and German written and spoken required (good in other languages of advantage)
  • Have strong interpersonal skills and self-confident appearance. You can deal with ambiguity resilient, and are also able to work under pressure
  • Have a strong systematic, reliable, and independent working style with an international mindset
  • Are able to navigate multiple, cross-functional project topics and help prioritize the topics and actively manage and steer the calendars/agendas with the leadership teams.
  • Are comfortable with technology and able to organize physical and virtual workshops/offsites. A good know-how on tools like MS Teams/break-out rooms, Yammer, Project boards would be an added advantage
  • Are confident handling of all MS Office applications (Word, Excel, PowerPoint, Outlook) and good knowledge of SAP
